Close Drawer (Z-Out) reports

The Daily Close procedures and reports are designed to be done at the end of the day for the entire store. All data is accumulated and reported for all ports.

The Z-Out process is a quick report that can be done at any time for any individual port. The idea is to let a clerk close a register and get totals on what has been done in that period.

CLOSE

The daily close summarizes all activity for the day for the entire store. It makes some quick, temporary backups. It prepares files for reporting.

During the day all work is recorded real-time in the system's database. Many of those activities are also noted in the daily transaction file (sssADRDT.TXT or just DT). The DT records are just short records showing the action, the data and time, the key to the data in the main database, and sometimes a few useful numbers.

The most signifincant action of the DAILY CLOSE is to make copies of the DT file at the time of the close, then erase the file and start a fresh copy. Reports are then run using the copies. People can go back to work and new sales and activitiy will be recorded in the new copy of the DT file.

Think of it like this example of a manual store without a computer.

Each time a sales clerk finishes a sale she/he takes the carbon copy of the ticket and puts it in a box on the counter. Everyone uses the same box.
When it's time to close the day the store manager comes out of the office and takes all the slips out of the box then leaves the empty box on the counter.
The manager goes back to the office and writes up the day's activitiy from the slips.
If the manager doesn't finish before leaving she can continue the next day because she has the pile of slips on her desk and the clerks are putting the new day's slips in the box out on the counter.

The software works the same way as the manual procedure. The DT file is the box. When you run the daily close the software gathers all of the slips then starts a new, empty DT file. The manager can now run the reports from the slips and the clerks can begin putting new slips in the DT file for tomorrow.
